In event production, some decisions seem minor but have a direct impact on the final outcome. One of them is the technical site visit. And in the context of international events — where distance and logistical complexity add layers of difficulty — that visit can make the difference between a solid execution and one full of avoidable surprises.
The problem with planning remotely only
Technology has transformed the way events are organised. Today it’s possible to coordinate full productions through video calls, digital floor plans, virtual tours and project management tools. And all of that is enormously useful.
But there’s information that no screen can fully convey: the real scale of a space, its acoustics, the quality of natural light at different times of day, actual people flows, service access points, the small details that don’t appear on any floor plan and that can only be perceived by being physically present.
When that information is missing, decisions are made on assumptions. And in production, assumptions generate problems.
What a well-executed site visit actually delivers
A technical site visit isn’t simply “seeing the space”. It’s an analytical tool that, when used well, allows you to anticipate problems before they occur.
During a technical visit, it’s possible to assess critical aspects such as the real load capacity of the space, build and breakdown possibilities, access timings, the venue’s compatibility with the event’s technical requirements, potential bottlenecks in attendee flow, and limitations that don’t appear in the venue’s official documentation.
Greater international complexity, greater value of advance preparation
In international projects, advance preparation carries even greater value. When the team cannot easily travel to resolve unexpected issues on the spot, anticipating them is the only viable strategy.
